Lot owners are invited to submit motion/s for inclusion in the agenda of the Annual General Meeting. This meeting is usually held within three months of the end of the Body Corporate’s financial year, and submissions are required to be received by our office no later than the end of financial year in order to be included.
Any motions should be structured in a way that allows for it to be voted on with a ‘yes’, ‘no, or ‘abstain’. If the motion is considering expenditure of funds, you must include the cost and provide a copy of the quote/s where possible. You may also choose to provide a brief explanatory note of up to 300 words which will also be included for lot owners’ reference in the Annual General Meeting agenda.
Your motion should be concise, relevant and allow owners to:
clearly vote either YES or NO to your motion;
be specific, state what you wish the Body Corporate to do. Start your motion with “That the”, it helps to describe the action required;
If the motion is for expenditure, you must submit quotes with your motion.
When reviewing your motion see if it gives you clear instruction of the action required, if it doesn’t it may be ruled invalid.
